Close a Project

A Project can be closed automatically or manually. When a Project is closed, the relevant state is assigned based on the criteria outlined below.

Automatically closing a Project

A Project can be automatically closed if the following criteria has been met.

1. The Project has successfully delivered the requested product to the Customer

This could mean:

  • The active Job type is Installation, and it's status is Completed, or
  • The only Job type is Rectification, and all Rectification Jobs in the Project have the status Completed or Cancelled.

Resulting status: Closed/Completed

2. The Project fails

This could mean:

  • It was rejected in the Design System task and there has been at least 1 day without activity on the Project, or
  • Fail was selected as the outcome of the Complete Site Inspection Review task and there has been at least 1 day without activity on the Project, or
  • It was rejected via the API.

Resulting status: Closed/Failed

3. The Customer has chosen not to explicitly commit to a Quote, and all valid Quotes have expired.

Resulting status: Closed/Lost

4. The Customer has decided not to proceed with the Installation.

This means the Project has:

  • An accepted Quote, and
  • An installation Job, with the status Cancelled, and
  • There have also been no changes to the latest Job in over 1 week.

Resulting status: Closed/Cancelled

5. A newer Project has been created for the same Customer and Site.

Resulting status: Closed/Closed

Manually closing a Project

The Operator can manually close the Project from the Project record. This will cancel any active Jobs for the Project by terminating related workflows.

To manually close a Project:

  1. Open the Project record.
  2. Select Actions.
  3. Select Close project.
  4. Select Ok to confirm.

When you close a Sales project, the Stage and State will be:

  • Closed/Lost if it has no accepted Quote. This means the Customer has not explicitly committed to a Quote.
  • Closed/Cancelled if it has an accepted Quote. This means the Customer has explicitly committed to a Quote, and an installation Job was in progress.

When you close a Service project, the Stage will be:

  • Closed/Cannot resolve if it has been closed without resolution, either because it cannot be resolved or further action is deferred outside the workflow.
  • Closed/Cancelled if there is a determination that the issue does not require further action.
